Airbnb self check-in: lockbox, smart lock and the rules in the UK
How to set up Airbnb self check-in in the UK: lockbox, key safe or smart lock, the guest record the law asks you to keep, and messages ready to copy.
Self check-in lets guests get into your Airbnb without meeting you: they take the key from a lockbox or open a smart lock with a code. It’s legal in the UK. One old rule still applies when you’re not there: every guest aged 16 or over gives you their name and nationality on arrival, and you keep a record for at least 12 months.

Is self check-in legal in the UK?
Yes. Nothing requires you to hand over keys in person. The rule to know is older than Airbnb: the Immigration (Hotel Records) Order 1972 covers any premises where sleeping accommodation is provided for reward – a holiday let included.
- Every guest aged 16 or over tells you their full name and nationality on arrival.
- Guests who aren’t British, Irish or Commonwealth citizens – for example from the US, Germany or Spain – also give the number and place of issue of their passport or ID card. Before they leave, they tell you where they’re going next and, if they know it, the address.
- You keep a written record of the arrival date and these details for at least 12 months. The police can ask to see it.

Lockbox, keypad or smart lock?

A lockbox is fine to start with. Once bookings run back to back, a smart lock saves time: each booking gets its own code, which stops working at check-out.
Before you fit anything, check two things. In a leasehold flat, the lease may restrict changes to doors and walls – ask the freeholder or managing agent. And ask your insurer whether they require a certified key safe or have rules for keys left outside.
Keep a spare key with a neighbour or your cleaner. A flat battery at 11pm is your problem, not your guest’s.
Self check-in in five steps
- At booking, ask for the arrival time and the number of guests.
- Three days before, send the address, the floor, which door, and photos of the entrance and the lockbox.
- On arrival day, send the code – a new one for this stay – and ask for the guest details.
- At check-in, guests arrive and settle in; you update your record.
- At check-out, tell them where the key goes, then reset the code.

Messages you can copy
After booking. ‘Thanks for booking! You can check yourself in from [4pm]. Roughly what time will you arrive?’
Three days before. ‘The flat is at [address], [floor]. The lockbox is [where]; I’ll send you the code on the day. All the instructions with photos are here: [guide link].’
On arrival day. ‘Here’s your code: [code]. When you’re in, please send me the full name and nationality of each guest aged 16 or over – and for non-UK, non-Irish and non-Commonwealth passports, the passport number and where it was issued. The law asks hosts to keep this record.’
On check-out day. ‘Check-out is by [10am]. Please put the key back in the lockbox and scramble the code. Any problems: [your number]. Safe travels!’
